This Privacy Policy explains how Invictus Pros LLC (“we,” “us”), the operator of the Invictus Manager application (the “App”), collects, uses, and shares information. Invictus Manager is a private, internal business tool for our sales organization. Access requires an authorized account; it is not a consumer product and is not directed to the general public.
1. Who this applies to
This policy applies to the people who use the App — our sales representatives, team leaders, managers, recruits, and staff (“Users”). It also describes limited information about pest-control customers that the App displays to authorized Users to help them do their jobs.
Role, team, and organizational relationships (who reports to whom).
Work & performance data
Attendance and check-ins; onboarding progress; training activity and submissions.
Compensation-related data (pay scales, commissions, overrides, expenses/reimbursements), housing and equipment assignments, and documents/agreements (including e-signatures).
Sales and production figures, including data synced from our field-service system (PestRoutes).
Location data
Meeting check-in: when you check in, we record your location at that moment to confirm attendance.
Field activity: when you use the field map, the App may record the GPS location of the doors/homes you log.
Live location sharing (optional, off by default): if the owner enables it, the App shares your approximate location with your team only while the App is open on the field map or during a meeting window. This is a foreground check-in, not continuous background tracking, and it can be turned off.
Customer information (shown to authorized Users)
Customer names, service addresses, contact details, service plans, and account/contract information sourced from PestRoutes, used for routing, sales, and servicing.
Communications
Messages, photos, videos, voice notes, GIFs, reactions, and forum/bulletin posts you create in the App.
AI assistant features
The App includes an AI assistant (“Vic”). When you use it, your messages and any audio you submit for transcription or coaching are sent to our AI provider (OpenAI) to generate responses, speech, and transcriptions. We do not use this content for advertising.
Device & usage data
Push-notification tokens, device and browser type, app version, and diagnostic/error logs used to keep the App reliable.
3. How we use information
Operate and secure the App and your account.
Manage the sales team: attendance, onboarding, scheduling, compensation, coaching, leaderboards, and communications.
Send notifications (e.g., sale alerts, messages, reminders) to your devices.
Provide AI assistant, transcription, and coaching features.
Improve performance, troubleshoot problems, and prevent misuse.
4. How information is shared
Within the organization: managers and leaders can see the data of Users on their team, according to their role.
Service providers: we share information with vendors that help us run the App, including cloud hosting and database providers, our field-service system (PestRoutes), our AI provider (OpenAI), push-notification services (Apple and Google), and other providers for messaging, e-signature, maps, and similar functions. They may only use the data to provide services to us.
Legal: we may disclose information if required by law or to protect our rights, safety, or property.
We do not sell your personal information, and we do not use it for third-party advertising.
5. Your choices
Location: you can control location permissions in your device settings, and live location sharing can be turned off in the App / by the owner.
Notifications: you can manage notification types in the App and in your device settings.
Access, correction, deletion: contact us (below) to request access to, correction of, or deletion of your personal information, subject to our legitimate business and legal obligations.
6. Data retention
We keep information for as long as needed to operate the App and support our business and employment relationship, and as required by law. When no longer needed, we delete or de-identify it.
7. Security
We use reasonable administrative and technical safeguards, including login-gated access, role-based permissions, and encryption of data in transit. No system is perfectly secure, but we work to protect your information.
8. Children
The App is a workplace tool intended for adults (18+). It is not directed to children and we do not knowingly collect information from children.
9. Changes to this policy
We may update this policy from time to time. We will revise the effective date above and, where appropriate, notify Users in the App.
